How the checker works

  1. Bring your sheet

    Copy the rows from Excel or Google Sheets and paste them, or upload a CSV or Excel file. It finds the product, expiry, quantity, cost and batch columns by their headings, and you can correct any it gets wrong.

  2. It reads every date

    Full dates, month-and-year dates like 12/2026 or Dec-26, and Excel date cells. Month-only dates count as the last day of the month. Anything it can't read is listed, not quietly dropped.

  3. See what to act on

    Stock is sorted soonest first into expired, within 90 days and within 180 days (or the windows you pick), with the value at cost when your sheet has quantity and cost price. Print a shelf-check list to tick off, or download the flagged lines as a CSV for your supplier.

Common questions

What counts as near expiry?

By default this checker sorts stock into four bands: expired, expiring within 90 days, expiring within 180 days, and fine. Use Warn me at to switch to 30 and 60, 30 and 90, 60 and 120, or 180 and 365 days. Many pharmacies treat anything inside six months as near expiry, because that is roughly how long suppliers allow for returns and how long slow movers take to sell. Your own policy or supplier terms may differ.

What date formats does it read?

Full dates such as 31/12/2026, 12/31/2026 or 2026-12-31, month-and-year dates such as 12/2026, Dec-26 or Dec 2026, and Excel date cells. A date with only a month and year is treated as the last day of that month. Switch between day-first and month-first if your sheet uses US dates.

Is my stock data uploaded anywhere?

No. The sheet is read by your own browser and never sent to QuickPharms or anyone else. Close the tab and it is gone.

How do I get my stock sheet into the checker?

In Excel or Google Sheets, select the rows including the header row, copy, and paste into the box. Or save the sheet as CSV or Excel and upload it. Most pharmacy software can export stock with batch and expiry as CSV or Excel. The sheet needs at least a product name column and an expiry column; quantity and cost price add the money at risk.

What should I do with near-expiry stock?

Move it to the front of the shelf and sell it first (first expiry, first out), ask suppliers about returns or swaps while there is still time on the date, transfer it to a branch that sells it faster, and stop reordering slow lines. Expired medicine must be pulled from sale, kept apart from saleable stock and disposed of under your local regulator's rules.
